Student Support and ELL Administrator

Reporting to the Head of Student Support and Well Being, this role supports the SWELL and ELL teams with a range of duties including testing English proficiency for incoming students, maintaining ELL and Learning Support data management, conducting COVID contact tracing, and performing duties that ensure our student safeguarding policy and protocols are in order.


  • Track and monitor background checks
  • Schedule professional development/workshops/meetings
  • Gather, input and extract student data from information systems
  • Maintain student support files and logs
  • Provide written/verbal translation support
  • Monitor budgets
  • Support COVID contact tracing efforts and direct health services support
  • Perform ELL notification/communication with families for ELL entry, WIDA reports, and ELL exits
  • Maintain accurate, up-to-date assessment data (initial entry and subsequent updates)
  • Liaise with Admissions, Finance, Activities Offices, HR, IT and Divisional Offices regarding student placement in/exit from support programmes, billing, reporting and parent communication
  • Assessing and scoring all incoming students’ English Language Proficiency in a timely manner to determine ELL placement
  • Ensure policies and procedures guides are kept up-to-date
  • Raise POs for all SWELL departments
  • Assist with the preparation, ordering and distribution of assessment materials


  • Proficient in English and Mandarin Chinese (both written and oral)
  • Excellent communication skills to engage internal and external stakeholders professionally in a multicultural setting
  • Proficient in Google applications including Google Sheets, Docs and Calendar
  • Experience in data and document management
  • Experience in the education industry will be advantageous


  • This role will be based at the Lakeside campus.
