  • JOB DESCRIPTION: Administrative Assistant
  • Reports To: Head of Student Support & Well-being (SWELL) and Head of Engish Language Learners (ELL)
  • Main Working Relationships: Administration

Main Responsibilities:

As an Administrative Assistant, you are part of a team of educators working together to provide the best learning environment for our students

As such, it is important for you to maintain:

  • Open lines of communication with your, administrator, support staff and colleagues
  • Confidentiality and privacy of information related to students and the workplace
  • Flexibility – on occasion you may be called upon to perform duties outside the specific scope of your job description
  • A willingness to involve yourself in school activities such as staff meetings, social functions and other school activities
  • Professional conduct as a representative of our school community
  •  Willingness to initiate and learn new skills to problem-solve and support efficient systems and processes

Children are our first priority.

Required Qualifications and Experience:

  • Post-secondary education and or certification in an education-related field
  • Prior experience working in an educational setting, preferred
  • English-Mandarin Chinese, written and oral proficiency required
  • MS Office, Google applications (spreadsheet, word processing, presentation, calendar)


  • Track and monitor background checks
  • Schedule professional development/workshops/meetings
  • Gather, input and extract student data from information systems
  • Maintain student support files and logs
  • Provide written/verbal translation support
  • Monitor budgets
  • Maintain accurate, up-to-date assessment data (initial entry and subsequent updates)
  • Liaise with Admissions, Finance, Activities Offices, HR, IT and Divisional Offices regarding student placement in/exit from support programmes, billing, reporting and parent communication
  • Assist with the preparation, ordering and distribution of assessment materials
  • Model the CIS values of Excellence, Respect, Collaboration, Creativity, Curiosity, and Generosity
  • Attend professional learning and training sessions as required
  • Abide by the Staff Code of Conduce
  • Other duties as arranged by supervisors

Confidentially Requirements

  • All CIS staff are required to maintain confidentiality regarding students’ progress and needs and personal information.
  • Staff are not permitted to discuss a child’s academic/social development with parents directly. Any direct communication with parents must be carried out by the teacher.
