- JOB DESCRIPTION: Administrative Assistant
- Reports To: Head of Student Support & Well-being (SWELL) and Head of Engish Language Learners (ELL)
- Main Working Relationships: Administration
Main Responsibilities:
As an Administrative Assistant, you are part of a team of educators working together to provide the best learning environment for our students
As such, it is important for you to maintain:
- Open lines of communication with your, administrator, support staff and colleagues
- Confidentiality and privacy of information related to students and the workplace
- Flexibility – on occasion you may be called upon to perform duties outside the specific scope of your job description
- A willingness to involve yourself in school activities such as staff meetings, social functions and other school activities
- Professional conduct as a representative of our school community
- Willingness to initiate and learn new skills to problem-solve and support efficient systems and processes
Children are our first priority.
Required Qualifications and Experience:
- Post-secondary education and or certification in an education-related field
- Prior experience working in an educational setting, preferred
- English-Mandarin Chinese, written and oral proficiency required
- MS Office, Google applications (spreadsheet, word processing, presentation, calendar)
Responsibilities
- Track and monitor background checks
- Schedule professional development/workshops/meetings
- Gather, input and extract student data from information systems
- Maintain student support files and logs
- Provide written/verbal translation support
- Monitor budgets
- Maintain accurate, up-to-date assessment data (initial entry and subsequent updates)
- Liaise with Admissions, Finance, Activities Offices, HR, IT and Divisional Offices regarding student placement in/exit from support programmes, billing, reporting and parent communication
- Assist with the preparation, ordering and distribution of assessment materials
- Model the CIS values of Excellence, Respect, Collaboration, Creativity, Curiosity, and Generosity
- Attend professional learning and training sessions as required
- Abide by the Staff Code of Conduce
- Other duties as arranged by supervisors
Confidentially Requirements
- All CIS staff are required to maintain confidentiality regarding students’ progress and needs and personal information.
- Staff are not permitted to discuss a child’s academic/social development with parents directly. Any direct communication with parents must be carried out by the teacher.
