JOB DESCRIPTION: Academics Administrator

Reports to: Deputy Head of School (DHOS)


Main Responsibilities:

The Academics Assistant works closely with the Deputy Head of School to support the development and auditing of academic programmes, systems, policies and procedures; including the IB authorization, EduTrust certification, and WASC accreditation processes.

Knowledge and Skills Required:

  • An outstanding record of employment

  • Outstanding Microsoft Office / Google Documents skills
  • Demonstrated organizational and problem-solving skills
  • Experience with collecting and organising data
  • Prior experience working in a school or educational setting

Specific Responsibilities:

Accreditation and Auditing:

  • Prepare documentation related to assessment and quality assurance to support externally based accreditation and authorization agencies: International Baccalaureate (IB), Council of Private Education (CPE), Western Association of Schools and Colleges (WASC)
  • Assist with the annual internal auditing systems and processes by editing reports, gathering documentation, and writing related action plans
  • Organize and maintain soft and hard copy files of evidence related to EduTrust Criteria
  • Assist with writing, formatting, collection of data, organization, and storage of IB, WASC and CPE authorization documents
  • Assist with the scheduling and other logistics required for IB, WASC, and CPE site visitors or visiting educators
  • Prepare systems analysis flow charts
  • Assist with the organization and implementation of the academic reviews

Curriculum Support:

  • Assist with the editing, formatting, and filing of academic policies, and related records
  • Advise Communications of policy approvals and changes related to communication to the broader community 
  • Assist in the preparation and storage of curriculum documents 
  • Access and organize information in ManageBac
  • Input academic resource orders in NetSuite
  • Support the organisation and management of school wide PL events
  • Manage the Curriculum Portal on My.CIS

Assessment and Student Achievement:

  • Liaise with Communications on curriculum initiatives and student achievement and success material for school promotion
  • Manage the MAP assessments three times per year
  • Prepare assessment data, graphs and student achievement analysis reports for the Deputy Head of School and Academic Board 

Miscellaneous:

  • Schedule meetings and room bookings
  • Reports - Manage the publication and distribution of analysis reports to stakeholders: Academic Board, ALT, Grade Level Teams, Coordinators, Teachers, and Parents
  • Maintain budget documentation
  • Minute taking as identified
  • Other duties as required
